AV Staff provides experienced ex-meeting planners to run all aspects of your event AV requirements in the plenary and break out spaces.   

 

Presentations

 

Our main function would be to run the presentation computer(s) and make sure that all presentations run smoothly and that they thread together seamlessly.  We will ensure that the version of Powerpoint (or other software) that the presentation is created in formats correctly on the presentation computer and that any last minute client changes does not affect the formatting. 


 


Other AV tasks  

 

In addition our staff will take on responsibility for any of the additional systems that may be required as part of the meeting:  

 

·      Audience Response System (ARS)

·      Video files

·      Online conferencing (e.g. Webex)

·      Video and sound recording

·      Lighting

·      Translator equipment set up (including looking after translators)

·      Dual language presentations screening simultaneously  


Advisory service  

 

We can also advise what the hotel AV suppliers will be required to supply to meet your client's and their vendors needs.  In addition we can assist with getting quotes for rental of equipment and specialist services.   Our staff will become an integral part of your team and will work cooperatively, effectively and deferentially with your event planner.  

 

Pricing

 

For our basic service our pricing model is based on the travel staff system of a flat fee per day.  We do not see our fee being more than 20% of your AV spend for straightforward meetings and much less than that for complex ones.  In many cases if we are allowed to advise on your AV requirements with the hotel we believe that we will save more than our fee.
